FAQ

Frequently asked questions

Straight answers to the questions we hear in first calls. If yours is not here, write to hello@incubics.com.
What happens in the two-week discovery?

A team of three — engagement lead, solution architect, data engineer — runs workshops with your business and IT stakeholders. We map use cases, data, integrations, process, people and risk. On day ten you receive a discovery pack: ranked portfolio, target architecture, data readiness assessment, governance baseline, cost model and a fixed-price proposal for the first production release.

How much does discovery cost?

Discovery is a fixed fee, quoted after a short scoping call. It is credited against the build if you proceed with us within 60 days.

What if we decide not to build after discovery?

You keep the discovery pack. It is yours. No obligation to proceed.

When is the first production release?

We target week 12 of the build for the first production release defined in discovery — integrated, monitored, documented, with users trained and a runbook handed over.

What is an increment?

A fixed-scope, fixed-price, fixed-date slice of work. The first increment is usually the first production release. Later increments add capability, regions or use cases without reopening the entire contract.

How does managed run work?

After go-live, we operate the system at a monthly fee tied to systems under management: evaluation against drift, cost control, agent supervision, model upgrades and a quarterly roadmap. You can take operations in-house at any time.

Can we take the system in-house?

Yes, at any point. Code, infrastructure as code, runbooks, evaluation suites and documentation are yours. Managed run is optional, not a lock-in.

Who owns the IP?

You own what we build for you under the terms of our agreement. We do not reuse your code, data or custom prompts for other clients.

Do you use our data to train models?

No. Client data is not used to train shared models.

Where is data processed and stored?

By region, as you require: India, UAE, Australia, EU, US. Residency is configured in infrastructure during the build, documented in the discovery pack.

Which regions do you serve?

India, Middle East, ANZ and other regions. Select your region on the contact form so we route the enquiry correctly.

Do you work on site?

Yes, when it helps — discovery workshops, integration work, go-live support. Much of the build can run remotely with weekly demos.

What do you need from us to start discovery?

A sponsor with authority to commit budget, access to business and IT stakeholders for workshops, and read access to relevant systems and documentation. We send a checklist after the scoping call.

How long until we can start discovery?

Typically two to four weeks from signed agreement, depending on your availability for workshops and access provisioning.

Can you work alongside our existing SI or internal team?

Yes. We define boundaries in discovery: what we own (AI product engineering, evaluation, LLMOps) and what stays with your team or SI (ERP changes, network policy, etc.).

What stacks and clouds do you support?

Major cloud providers, on-premise and air-gapped deployments where required. We build on what you run — lakehouse or warehouse, identity provider, CI/CD.

Do you fine-tune models?

When evaluation shows it is worth the cost and data governance allows it. Often retrieval and tool use deliver enough value without fine-tuning.

How do you handle security review?

Security and governance are part of discovery and the first sprint — logging, access control, red-teaming, evaluation. We complete vendor questionnaires as part of onboarding.

What is your legal entity?

Incubics is from IQLEXA Technologies and Clarivent. Contracts are with IQLEXA Technologies Private Limited. Registered office: 905 Gera Imperium Alpha, Kharadi, Pune 411014, India.

How do I contact you?

hello@incubics.com. We respond within one business day.

Do you publish case studies?

When clients allow us to name the work. Until then, our method and these FAQs are the clearest picture of how we deliver.

What if our requirements change mid-build?

We manage change through increment scoping. Material scope changes are documented, priced and scheduled — not absorbed silently.

Next step

Start with two weeks.

A fixed-fee discovery gives you a ranked use-case portfolio, a target architecture, a cost model and a build proposal you can take to your board. If we don't find a case worth building, we tell you.
